How to review, approve, decline, or dispute a timesheet

Step-by-step client review for weekly timesheets, including approval, decline, dispute, and the Monday deadline.

Clients review submitted timesheets before they move into billing. A submitted timesheet is PENDING until it is approved, declined, disputed, reopened, or auto-approved by the Monday deadline.

Open your client dashboard and go to Approvals.
Select the timesheet for the prior week. Check the contractor name, role or project, week range, total hours, notes, and evidence.
Use Approve when the time is correct. Enter the approved amount and choose who covers the fee: Contractor by default, or Client if you are covering the 15% platform fee.
Use Decline when the timesheet is not ready to pay. Add a clear reason. The API stores this as REJECTED, and the contractor can resubmit after correction.
Use the dispute or reopen path when an approved or contested timesheet needs manual review. Add a reason so the audit trail explains why payout is paused.
Finish review before Monday at 11:59 PM for the prior week.

What each status means

  • PENDING - waiting for client review.
  • APPROVED - ready for billing and payout processing.
  • REJECTED - sent back to the contractor with your reason.
  • DISPUTED - payout is paused for that timesheet until the issue is resolved.
  • REOPENED - an approved or disputed timesheet is back in review.

Approved timesheets enter the weekly billing cycle. Disputed timesheets do not pay out until resolved.
